1. About this policy
This policy explains what information ZENTRA LINK INC (“zentralk,” “we,” “us”) collects when you use zentralk.com, the client portal at app.zentralk.com, and any services we provide under a separate engagement letter. ZENTRA LINK INC is a Wyoming corporation with its registered office at 2617 E Lincolnway, Cheyenne, WY 82001, United States.
2. Information we collect
We collect information in three ways.
Information you provide. When you submit the contact form, request a quote, open a portal account, or send us an email, we receive the fields you complete (name, company, work email, phone, role, shipment or service details, message body). When we are providing freight, sourcing, customs or warehousing services under an engagement letter, we also receive the operational data required to execute those services (purchase orders, invoices, commercial documents, carrier and supplier details).
Information collected automatically. Our web servers log standard technical data when you visit the site or portal: IP address, browser and operating system, referring page, pages visited, timestamps, and general geographic region. Cookies and similar technologies are described in our Cookie policy.
Information from third parties. When we execute freight or customs work on your behalf, we receive information from carriers, brokers, retailers and government systems (tracking milestones, customs entries, ASN acknowledgements, invoices). That information relates to the shipments you have asked us to manage.
3. How we use information
- To respond to quote requests and general enquiries.
- To deliver the freight, sourcing, customs, warehousing and portal services you have engaged us to provide.
- To operate and improve zentralk.com and the portal — for example, diagnosing technical issues, measuring traffic, and refining content.
- To communicate with you about account or shipment matters, service updates, and (where you have opted in) newsletters or lane reports.
- To meet our legal, regulatory, tax and audit obligations, including customs record-keeping.
- To protect zentralk, our customers, and the public from fraud, abuse or security incidents.
We do not sell or share personal information for cross-context behavioral advertising, as those terms are defined in the California Consumer Privacy Act (Cal. Civ. Code §1798.140), and we do not knowingly disclose personal information to third parties for monetary or other valuable consideration in exchange for that information.
3.5 Lawful basis for processing (EU / UK)
Where the GDPR or UK-GDPR applies, we rely on the following lawful bases under Art. 6(1):
- Performance of a contract (Art. 6(1)(b)) — to deliver the freight, sourcing, customs, warehousing and portal services you have engaged us for, and to respond to your quote requests.
- Legal obligation (Art. 6(1)(c)) — to file customs entries, to retain shipment and customs records under 19 CFR 163.4 and equivalent rules, to comply with sanctions screening obligations, and to respond to lawful requests from regulators, courts and law enforcement.
- Legitimate interests (Art. 6(1)(f)) — to operate, secure and improve the Site and portal; to communicate with prospective customers about services they have inquired about; to prevent fraud and abuse; and to enforce our Terms. Where we rely on legitimate interests we have balanced our interests against your rights and freedoms; you may object at any time by emailing privacy@zentralk.com.
- Consent (Art. 6(1)(a)) — for marketing emails and any non-essential cookies, where consent is required by applicable law. You may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.
4. How we share information
We share information only with parties that need it to deliver the service you have engaged us for, or that the law requires us to share with.
- Carriers, brokers, retailers and government systems involved in the execution of your shipment (ocean carriers, airlines, trucking partners, customs brokers, destination warehouses, retailer DCs, CBP, FDA and their international equivalents).
- Subprocessors that provide infrastructure, analytics, email delivery, support ticketing and accounting on our behalf, under contractual confidentiality and security obligations.
- Professional advisers (legal counsel, auditors, insurers) where reasonably necessary.
- Regulators, courts or law enforcement where we are legally compelled to disclose information, and only to the extent required.
- An acquirer or successor entity in the event of a merger, acquisition or sale of assets; information transferred will remain subject to this policy.
4.5 Subprocessors
We use a small number of vendors to operate the Site and portal. As of the effective date of this policy:

An up-to-date list of subprocessors is available on request to privacy@zentralk.com. We notify portal account holders by email at least 30 days before adding a new subprocessor that processes their personal data, where their contract with us so requires.
5. International transfers
zentralk operates globally. Information may be transferred to and processed in the United States, the European Union, the United Kingdom, and other countries where we or our subprocessors operate. Where required by law, we rely on appropriate safeguards for cross-border transfers — including the European Commission's 2021 Standard Contractual Clauses (Decision (EU) 2021/914), the UK International Data Transfer Addendum (or the UK IDTA where applicable), and, for transfers of personal data from the EU, UK or Switzerland to the United States, the EU-US, UK Extension and Swiss-US Data Privacy Frameworks where ZENTRA LINK INC has self-certified at the time of transfer.
6. Your rights
Depending on your location, you may have the right to access, correct, port, or delete information we hold about you; to object to or restrict certain processing; to withdraw consent; to opt out of automated decision-making with legal effect (we do not currently engage in such processing on the Site or portal); and to lodge a complaint with a supervisory authority — in the European Union, the data protection authority of your member state of habitual residence; in the United Kingdom, the Information Commissioner's Office (ico.org.uk). California residents have additional rights under the CCPA/CPRA, including the right to know, delete and correct personal information, the right to opt out of “sale” or “sharing” as those terms are defined in that law, and the right to limit the use of sensitive personal information — noting again that we do not sell or share personal information.
To exercise a right, email privacy@zentralk.com from the address on file. We will verify the request and respond within the timeline required by the applicable law (generally 30 days under GDPR Art. 12(3), with one extension of up to 60 days where the request is complex, and 45 days under CCPA Cal. Civ. Code §1798.130(a)(2), with one extension of up to 45 days).
7. Data retention
We retain information for as long as needed to provide the service and to meet legal, tax and customs record-keeping obligations. Customs entries and shipment records are typically retained for the period required by CBP and equivalent authorities (generally five years from the date of entry, per 19 CFR 163.4). Where a deletion request under GDPR Art. 17, CCPA §1798.105 or analogous law would conflict with our customs, tax or other statutory record-keeping obligations, we will honor the request to the extent the law permits and explain the basis for any retention we cannot waive. Marketing contacts are retained until you unsubscribe or request deletion. Web server logs are retained for 90 days for security and abuse-prevention purposes; aggregate analytics, where collected, for up to 13 months.
8. Security
We apply administrative, technical and physical safeguards appropriate to the sensitivity of the information we handle, including role-based access controls in the portal, encryption of data in transit, and vendor security review for subprocessors. No system is perfectly secure; if we become aware of a security incident that affects your information, we will notify you and the relevant authorities as required by law.
9. Children
zentralk is a business service intended for users 18 years of age or older, consistent with our Terms of Service. The Site is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected information from a child, please contact privacy@zentralk.com and we will delete it.
10. Changes to this policy
We will update this policy as the service and applicable laws evolve. Material changes will be communicated by email to account holders and posted on this page with a new effective date.
